What To Consider When Running An Outdoor Event

With COVID19 restrictions largely gone, it looks increasingly like 2022 will be a year to celebrate. People who’ve put off events due to COVID19 can now go ahead and hold them. People with upcoming events can organize celebrations in reasonable confidence. With that in mind, here are five points to consider when running an outdoor event.

The weather

It’s advisable to have some form of shade/shelter available no matter what the weather forecast. If the weather is good, then it can be a place for people to get a little rest and privacy. If the weather pulls a surprise, then you and your guests are protected.

Restrooms

If you’re running an event at your home, it may be fine just to have guests use your bathroom(s). If you’re taking that approach, it’s generally best to have clear signs indicating where they need to go. That covers you in case there are people there who don’t know or can’t remember the layout of your house.n

If you’re running an event in a public space, then you definitely need to check out the toilet situation. If there aren’t toilets, or at least not enough for your event, you can hire them. It’s definitely worth it for your guests’ comfort. In fact, it may be required to get permission for the event.

Food and beverages

Food is usually easy to organize. You can have guests bring their own, do the catering yourself or hire caterers. Beverages can be a bit more complicated. As a rule of thumb, if you’re serving alcohol, it’s best to have some kind of bar arrangement.

You can run this yourself but it can be more efficient, more economical, and more fun to hire a mobile bar service like Carolina Crafts On Tap. Hiring a professional company with the proper equipment and experienced bartenders means that both the alcohol and your guests are properly looked after.

You can have your bar serve non-alcoholic beverages. It can, however, be better to put them out somewhere they can just be grabbed easily. At a minimum, you’ll need to ensure that your guests have easy access to drinking water. This is important even in winter. In summer, it’s essential.

First aid facilities

If you’re running an outdoor event at home, then your regular home first aid kit may well be fine. If you’re hiring a venue, it will probably have first aid facilities. That said, it’s wise to double-check. If you’re using a public space, you may need to make your own first-aid arrangements. This is usually pretty straightforward.

Litter and cleanup

After the party comes the cleanup. You can make your life easier if you have guests do at least some of the work beforehand. If you’re strategic about your arrangements, it won’t be an inconvenience to them. The key to success is making it easy for your guests to do what you want them to do.

For example, if you’re using proper tableware and glassware, have guests return the dirty items to a designated area. Make sure this is clearly indicated and accessible. Similarly, have them separate litter and recycling and put them into bags. Again, make sure these are obvious and easy to access.
