Tips For A Great Business Meeting

In the workplace meetings are dreaded. They are seen as invaluable and a waste of time. Meetings are an intrical part of every business and when done correctly they can be extremely valuable to everyone involved. Conducting meetings where everyone is heard and things actually get accomplished will give your office moral a great boost.

Here are some tips to creating better business meetings. 

Know What Your Goals Are.

Go into this meeting knowing exactly what you want to accomplish. If you don’t know what you’re expecting then your employees surely won’t. Have a clear cut list of goals and share this with those in attendance. If you are unable to achieve any of your goals make a clear plan for when and how they will be accomplished.

Create A Summary Beforehand.

Impromptu business meetings, even scheduled meetings, can be a source of stress for employees. If you call a meeting, try to provide a little blurb of what you would like to discuss with your employees. If you want to be very thorough you could even send them your list of goals from above. This will give your employees time to come prepared and will dispel any stress or rumours of what this meeting could potentially be about. This could also benefit you in the long run. Giving your employees more time beforehand could lead to more questions or thoughts about the material, and could lead to a better outcome of the meeting. 

Encourage Participation.

Of course there are things you want to say during a meeting, but it shouldn’t be just you talking the whole time. Your employees should be comfortable to ask questions or share their thoughts and opinions. This goes for your work environment in general. Also be aware of others who monopolize the conversation. Your employees should all feel like they get an equal amount of time to speak. 

Always Ask For Feedback.

Asking for feedback is a sure fire way to make sure that your employees are getting what they need. Keeping an open dialogue for suggestions, or having a set meeting can help keep things fresh. Think about creating a follow-up discussion board where you employees can leave you feedback on a meeting they were just in. This is the best way to make sure that you and your employees are always on the same page. 

Change Things Up.

Add some variety to your meetings. Doing the same thing in the same place over and over again will bore you and your employees. Changing the environment, having some snacks, or even something like a funny video to start with could really open up the meeting. Not only could this lighten up a meeting, but it could also give your employees a nice little refresher.
